Templates Overview and Library

Find your templates, use ones from the library, share them with your team and remove the ones you don't use.

Find, organize, share and clean up the templates Noota uses to write your AI reports.

Templates tell Noota how to write the report, scorecard, clips and follow-up email for each meeting. This article is for anyone who wants to find a template, reuse one from the library, share one with the team or clear out templates nobody uses.

Open the Templates page

In the left sidebar, open More tools (⋯) and select Templates.

The Templates page, with the three tabs at the top.

The three tabs

  • My templates - templates you created or added from the library. The number shows how many you have.

  • Shared with me - templates a teammate shared with you. You can use them on your meetings.

  • Browse templates - the built-in Noota library, ready to use.

My templates, Shared with me and Browse templates.

In My templates, use the search bar to find a template by name. Use the type filter (Meeting templates, Scorecard prompts, Clips prompts, Email prompts, Guidelines, Voice Agent) to switch between kinds of templates. Use the category filter to narrow the list by use case.

Each card has a toggle. When the toggle is on, the template is active and Noota can apply it to your meetings. When it's off, the template is kept but not applied.

Use a template from the library

Select the Browse templates tab.

The built-in library. Use the category filter to narrow it down.

  1. Open the category filter (All) and choose your use case, for example Sales or HR & Recruitment.

  2. Select a template card to preview its report structure.

The preview shows each section of the report. Select Use to add it.

Click on Use.

The template is added to My templates.

The number on each library card shows how often the template has been used, so you can spot the most popular ones.

Clean up templates you never use

When some of your templates have never been used, a banner at the top of My templates tells you how many.

In the banner, select Review and clean.

The banner counts templates that have never been used.

The Clean inactive templates window opens. Every unused template is selected, with its last edit date and "Used 0 times".

  1. Uncheck each template you want to keep.

  2. Select Clean N templates to remove the ones still checked.

Uncheck the templates to keep, then confirm.

To keep everything, select Unselect all or Cancel. To hide the banner, select the × in its corner.

Private vs. shared templates

A new template is private: only you see it. You can share it with your whole organization or with specific people.

  1. Open the template from My templates.

  2. Select the Share icon at the top of the template panel.

  3. To share with everyone in your organization, turn on All organization members.

  4. To share with one person, enter their email address and select Invite.

  5. Select Save.

Share with the whole organization or invite people by email.

Keep Auto-create the report for shared users checked if people you share with should get a report generated with this template automatically.

Teammates you share with find the template in their Shared with me tab.

Where meetings are stored

The folder badge on each card (for example Private) shows where meetings that use this template are saved. Select the badge to change it.

Choose Private, Teamspace or one of your Workspaces.

  • Private - only you have access.

  • Teamspace - shared with all your organization members.

  • Workspaces - a specific workspace folder.

Moving to Teamspace shares with all your organization members.

FAQ

I don't see a template a teammate made.

Ask them to share it with you, or to turn on All organization members. It then appears in Shared with me.

Why is the Review and clean banner not showing?

It only appears when at least one of your templates has never been used, and it stays hidden after you close it.

Can I edit a library template?

Yes. Select Use to add a copy to My templates, then edit your copy. The library version doesn't change.
