Create a Custom Template

Build a template from scratch: when it applies, how the report is written, and what Noota produces after the meeting.

A custom template controls when Noota applies it, how the AI report is written, and which scorecard, clips, follow-up email and guidelines come with it. Create one when no library template fits the way your team works.

Create the template

  1. Open the Templates page.

  2. Select Create template.

  3. Select Create from Scratch.

The template panel opens. At the top, you set the icon and name. The tabs below hold every setting.

  1. Select the icon to choose one for your template.

  2. Enter a name for the template.

Automation: when the template applies

  1. Select the Automation tab.

  2. In Apply this meeting when, describe the meetings this template is for.

Noota uses this description to pick the right template automatically. Be specific: who attends, what the meeting is for, how often it happens.

In Meetings will be stored and shared on, choose the folder where these meetings are saved.

Describe when to apply the template and where meetings are saved.

Under Other options, turn on the options you need.

  • Attach document in email - attaches the report document to the follow-up email.

  • Job Matching and Candidate Matching - recruiting options that compare the meeting against a job or candidate profile.

Under Triggered integrations, turn on each integration that should run when this template is used, for example HubSpot or Google Drive.

Report: how the AI report is written

  1. Select the Report tab.

  2. Under Report format, choose Concise or Detailed.

  3. For a Concise report, choose a Report style: Paragraph or Bulleted list.

  4. Turn Allow tables in report on or off.

  5. Turn Include timestamps in report on or off.

  6. In Report structure, write the sections you want and what each should contain.

Write one heading per section, followed by an instruction for the AI.

Optional: under Branded report, select Select a .docx file to upload your branded Word template (.docx, max 10 MB).

Optional: under Test on a recent meeting, select a meeting and select Run preview.

Run preview regenerates the AI content on the meeting you select, so you can check the result before you activate the template.

Scorecard, Clips and Emails

These three tabs work the same way. Each has a Select template dropdown and an Instructions box.

  1. Select the Scorecard tab.

  2. Choose a scorecard from Select template, or select + to create a new one.

  3. Edit the Instructions to list the criteria the AI scores the meeting on.

Pick or create a scorecard, then adjust its criteria.

  1. Select the Clips tab.

  2. Choose a clips template, or select + to create one.

  3. In Instructions, describe which moments to cut into clips and how many.

Tell the AI which moments to turn into video clips.

  1. Select the Emails tab.

  2. Choose an email template, or select + to create one.

  3. In Instructions, describe the follow-up email: who it's for, its tone and its sections.

Clips and Emails instructions accept up to 3,600 characters.

Guidelines

  1. Select the Guidelines tab.

  2. Choose a guidelines template from Select guidelines template, or select + to create one.

Guidelines list the questions to cover during the meeting.

Guidelines structure then shows the questions the template covers. Noota reminds you of them during the meeting.

Activate the template

Select Activate.

The template is saved and turned on. It appears in My templates and in every template selector: upload, calendar recordings, calls and the Recordings page. Select Cancel instead to discard a new template.

FAQ

My template isn't applied to my meetings.

Check that its toggle is on in My templates. Then make Apply this meeting when more specific.

What's the difference between Concise and Detailed?

Concise gives a short report and lets you choose paragraphs or bullets. Detailed gives a longer report in paragraphs.

Can I test a template without changing my meetings?

Run preview regenerates the AI content on the meeting you select. Pick a test meeting if you don't want to change a real report.
