Tasks

Track follow-ups from your meetings and emails, set priorities and due dates, and let the agent work on your tasks.

The Tasks page collects every follow-up from your meetings and emails in one list. Use it to track what you owe, sort it by person, company, meeting or email, and hand work to the Noota agent.


What a task is

A task is a follow-up that someone needs to do after a meeting or an email.

Noota creates most tasks for you. After each recorded meeting, Noota reads the transcript and pulls out the action items. It does the same for your connected email. Each task keeps a link to the meeting or email it came from.

A task has a title, a description, a status (To do, Ongoing, Done or Blocked), a priority, a due date and an assignee.


Open the Tasks page

  1. Click Tasks in the left sidebar.

  2. Your tasks appear under My tasks, grouped by status.


Switch between views

Use the tabs above the list to change how your tasks are grouped.

  1. Click By person.

2. Click By company.

3. Click By meeting.

4. Click By email.

5. Click Archived to see the tasks you archived.

Click a group header to open or close that group.


Get tasks automatically

Noota adds tasks from your meetings and emails on its own. You don't need to do anything after a meeting.

To check for new tasks right now:

  1. Click the refresh icon next to the Tasks title (Search meetings & emails for tasks).

  2. New tasks appear at the top of the list.


Create a task manually

  1. Click Create a task in the top-right corner.

2. Enter a Title.

3. Add a Description if you need to. You can also dictate it with the microphone icon.

4. Set the task details with the buttons under the description: status, Priority, Due date, assignee, tags and Company.

5. Click Save task.

You can also add a task from a meeting. Open the meeting, go to its Tasks tab and click New task (see section "Go back to a task's source meeting").


Set a priority and a due date

Priority

Each priority has its own flag color.

  1. Click Priority in the New task window, or click the flag on a task row.

  2. Choose a priority.

Due date

  1. Click Due date in the New task window, or click the calendar icon on a task row.

  2. Choose Tomorrow, End of this week or In one week.

  3. To pick a specific day, choose Custom....

Once set, the date shows on the task row next to the flag.


Go back to a task's source meeting

Each task remembers where it came from. The icon on the task row shows the source: a play icon for a meeting, an email icon for an email.

From the task row

  1. Click the source icon on the task row.

2. The meeting opens on the Transcript tab, at the moment the task was mentioned. The words are highlighted.

For an email task, the icon opens the email instead.

From the meeting

  1. Open the meeting.

  2. Click the Tasks tab.

  3. Your tasks from that meeting appear under Tasks from this meeting.

  4. Click New task to add another task linked to this meeting.

From the task details

  1. Click a task to open its details panel.

  2. Scroll to Linked file.

  3. Click the open icon on the meeting card.

The details panel is also where you edit the title and description, add people under Shared with, click Archive, or click Mark as done.


Manage tasks with the agent

The bar at the bottom of the Tasks page lets you chat with the Noota agent without leaving the page.

Ask the agent from the bar

  1. Click the bar that reads Ask Noota about your meetings, tasks, or follow-ups….

2. The prompt changes to Message Agent or press @ for commands.

3. Type your request, for example "Which tasks are due this week?" or "Create a task to send the Pro offer to the client by Friday".

4. Type @ to point the agent at a Folder, Workspace, Meeting Title, Company, Participant, Job Post, Candidate or Date.

5. Press Enter or click the send arrow.

You can attach a file with the paperclip icon. You can also dictate your request with the microphone icon.

Let the agent work on a task

  1. Click the sparkle icon (Ask Noota) on a task row.

2. The agent reads the task and its source meeting.

3. The result opens in a panel above the bar. From there you can Edit or Copy the result.

4. Click Open in Ask Noota to continue the conversation full screen.


FAQ

Why didn't a task appear after my meeting?

Noota only finds tasks that are said clearly in the meeting, like "I'll send you the proposal on Friday". Click the refresh icon next to the Tasks title to check again. If the task is still missing, create it manually.

What does the green check icon next to a task title mean?

It means Noota thinks the task is already done, based on a later meeting. Hover over it to see which meeting. Mark the task as done if that's right.

How do I complete a task?

Tick the box at the start of the task row. You can also open the task and click Mark as done.

What's the difference between Done and Archived?

Done tasks stay in My tasks under the Done group. Archived tasks leave your list and only appear in the Archived tab.

Can I search my tasks?

Yes. Type in Search tasks… at the top of the page. Use Filters and the sort icon to narrow or reorder the list.
